How to Recall an Email in Outlook

Recalling an email in Outlook is simple.

  • In your email, go to the Sent Items section.
  • Recall the message by clicking it twice.
  • Select File -> Info in the message window that pops up.
  • Select Recall This Message by clicking the button to the right of Resend or Recall.
  • A new window will open with two options: delete or replace a previously sent email.
  • You can either type a new message or pick the “delete” option.
  • You have no idea who has seen your communications.

Regardless of the reason, Outlook has a feature that allows you to pull an email out of the abyss (to an extent). Outlook has a built-in feature that allows you to recall a previously sent email, so we’ll show you how to do so here.

Microsoft Outlook is one of the few email platforms that allows you to “unsend” an email. A shame because knowing how to recall an email in Outlook might save folks a lot of time and possibly embarrassment.

Even if you’ve already sent an email, you can use Outlook’s email recall feature to insert a fresh message into it. For starters, the process is pretty straightforward, and we’re here to show you how to do it so that you may avoid a potentially awkward conversation with your coworker or customer, or even a close friend.

  • Take a look at your Sent folder
  • Go to the File drop-down menu
  • The File Menu, which brings you to a File screen with various options listed, may not appear sensible at first.
  • Click on ‘Resend and Recall Messages’ to do so.

In Microsoft Outlook, there is a “recall” button for emails.

In the bottom row, you’ll find a button labeled “Message Resend and Recall.” Click on it. Recall this message… is one of the choices that can be chosen.

To recall the email, you’ll be given a choice in the dialog box that appears. This message’s unread copies can be deleted or a new one can be substituted for those that have been deleted and unread. You have a choice here, so choose wisely.

Replace the message in the original email with a new one by selecting that option and then entering a new message when requested to do so. Your email recipients will receive a notice stating that you desire to recall or change the message. The only thing left is for the recipient to decide whether or not to automatically process the recall request after you’ve done everything you can.

You can’t delete an email that has already been opened and read, therefore the recall notice and the original email will remain in the recipient’s inbox until the recipient deletes it.

You can choose to delete or replace the original message based on whether or not the recipient opens the recall message first and has the option checked under Tracking to automatically process meeting requests and poll replies.

If the recipient has a filter that moves messages from the inbox to other folders, Outlook cannot recall the message, and the recall request will fail. In addition, if the recipient does not use Outlook, this won’t function.

For example, you shouldn’t rely on Outlook to keep you from making a mistake with an essential message or saying something that you wish you could take back because of professional reasons. The only way to avoid that circumstance is to avoid putting yourself in that situation in the first place. ‘

Even if you know how to go back and recall an email in Outlook, you should always proofread your emails and double-check attachments and recipients before hitting the send button. Nobody claims that the internet will last indefinitely or that it will always be accessible.
